Privacy Policy
Last Updated: August 31, 2026 • Nexus Machinery SolutionsNexus Machinery Solutions ("we", "our", or "us") respects your privacy and is dedicated to protecting the personal data of all users across our official website (nexusmachinerysolutions.com), the Nexus Services customer mobile application, and the Nexus Staff internal application used by our employees. Sections 1 to 3 apply to our website and the customer application. Section 4 covers the Nexus Staff employee application specifically.
1. Information We Collect
To provide high-quality industrial machinery repair, parts delivery, and in-house work repair services, we collect:
- Personal & Business Identification: Full name, verified mobile phone number, business/factory name, and optional GST/MSME numbers.
- Location & Address Data: Factory/workshop address and geographic coordinates provided during machine service booking to enable accurate technician dispatch and route navigation.
- Photos & Media: Uploaded images and video files showing machinery breakdown issues, nameplates, or business verification documents (GST certificates).
- Audio Notes: Optional voice audio recordings you submit to explain machine noise, abnormal vibration, or custom part specifications.
2. How We Use Your Information
We strictly utilize collected data to perform essential B2B engineering and support operations:
- To dispatch certified service engineers directly to your factory premises.
- To send instant booking confirmations, technician status updates, and invoice receipts.
- To arrange, repair and return machines or components you send in to our workshop under a Work Repair request.
- To secure service starts and completions via one-time password (OTP) verification.
3. Security & Third-Party Service Providers
All data transmitted between your device and our servers is strictly encrypted using industry-standard HTTPS/SSL encryption. We do not sell, rent, or trade your personal information.
We work with trusted enterprise service providers solely for essential operations:
- Google Firebase: Secure real-time cloud database, authentication, file and image storage, and push notifications.
- Razorpay: RBI-compliant payment gateway for online invoice settlements. We do not store credit/debit card numbers or bank passwords on our servers.
4. Nexus Staff (Employee Application)
Nexus Staff is a separate, internal-only Android application used by Nexus Machinery Solutions service engineers and administrators to run service calls. It is not a consumer application: accounts are issued by the company, there is no public sign-up, and the app cannot be used without company-issued credentials. This section describes that application specifically.
4.1 Information the employee application collects
- Employee account data: Work email address, password (stored only as a hash by Google Firebase Authentication, never by us in readable form), full name, role, department and specialisations.
- Sign-in verification: A six-digit one-time password is generated and emailed to the employee's registered work email address at every sign-in. It expires after five minutes. Sign-in attempts, including failures, are recorded in an audit log for account security.
- Device identifier: A push notification token issued by Google and Expo for the specific device, stored so that service dispatch alerts can reach the assigned engineer.
- Customer and job records handled by staff: Customer name, contact number, WhatsApp number, service address, machine details, quotations, approved items, invoices and payment status. This is customer data, processed by employees to deliver the service, and is governed by sections 1 to 3 above.
- Service photographs: Images captured with the device camera or chosen from the device gallery to document machine condition before and after service. These are uploaded to Google Firebase Storage and attached to the job record. The application accesses the camera and gallery only at the moment an employee chooses to attach a photograph.
4.2 Information the employee application does not collect
- Employee location is not collected, stored or transmitted. The application reads the device's last known position solely on the device, and solely to display how far away a new service request is (for example "12 km away") and to open turn-by-turn navigation in your preferred maps application. This position is never written to our servers, never retained after the screen closes, and is not used to track employee movement or working hours.
- No audio or voice recording. The application plays notification sounds only. It does not record audio at any time.
- No advertising, no analytics profiling, and no sale or sharing of data with third parties for marketing.
4.3 Device permissions and why they are required
- Notifications: To alert the assigned engineer to a new or emergency service request.
- Display over other apps, and full-screen alerts: To show an incoming service request on screen when the device is locked or another application is open, because machinery breakdown response time is time-critical. The alert can always be dismissed.
- Background service and battery optimisation exemption: To keep watching for newly assigned requests while the application is closed. A permanent notification is shown whenever this is running.
- Alarms and reminders: To deliver dispatch alerts at the correct time.
- Camera and photo access: Only to attach service photographs, as described in 4.1.
- Approximate and precise location: Only for on-device distance display and navigation, as described in 4.2. The application remains usable if this permission is declined.
4.4 Employee data retention and deletion
Employee account records are retained for the duration of employment and for as long afterwards as is required for statutory, tax and contractual record-keeping. When an employee leaves, their sign-in access is revoked immediately. A current or former employee may request access to, correction of, or deletion of their personal account data using the contact details in section 6. Requests are actioned within 30 days, except where a record must be retained by law. Job and invoice records belong to the customer, not the employee, and are retained under section 5.
5. Data Retention & Account Deletion (User Rights)
You have full ownership of your data. You may request the permanent deletion of your profile, service history, and uploaded documents at any time without penalty.
To request complete account or data deletion, simply send an email or WhatsApp message with your registered phone number:
